GENERAL INFORMATION

On-Site Staff (Regular)

a. Arrive at work in full uniform which includes a mask that securely stays in place, covering both your nose and mouth when required by government regulations

b. Follow all safety protocols

c. Follow all technology protocols

d. Engage in daily responsibilities and seek clarification where needed (daily clipboards and the whiteboard are aids in this)

e. Check with admin or the ED if you have any questions or are in need of supplies/information

f. Inform admin or the ED when you have completed a project and are ready to move on to the next one

g. Report to the ED about progress each day, in-person and/or through “My Day” Google form

h. Report to the ED about completion of all projects so they can be signed off

i. Check-in with the ED or supervisor before signing out and leaving

j. Check the staff’s Google Classroom (Staff Seahorses), email and text alerts for updates about programming/staffing

k. Remember: if you feel ill or someone you share close contact with is ill, then inform the ED as soon as possible

l. Remember: you must adhere to scheduled work hours

Virtual Staff (Crisis Situation)

a. Record your time of entry on your telecommuting log provided

b. Place phone nearby so it is accessible for contact between you and supervisor/ED

c. Engage in daily responsibilities and seek clarification where needed

d. Check with admin or ED if you have any questions or are in need of supplies/information

e. Check in with admin or ED to move on to the next project when an assignment is completed

f. Report to the ED about progress each day

g. Report to the ED about completion of all projects so they can be signed off

h. Check-in with the ED or supervisor before signing off on your telecommuting log

i. Check email and text alerts for updates about programming/staffing

j. Remember: You are responsible for recording your telecommuting hours accurately

k. Remember: if you feel ill or someone you share close contact is ill, inform the ED as soon as possible even though you may not be on-site

l. Remember: you must adhere to scheduled work hours

VIRTUAL PROTOCOL

a. As a program, we use Google Meet and Google Classroom to conduct our virtual classes, training, etc.

b. If you are teaching a virtual class, you must be live in your Google Meet session ten minutes prior to the session beginning

c. Even in virtual meetings, the uniform must be worn and visible when dealing with children, coworkers, and volunteers unless permission has been granted to wear an alternative uniform to better teach the class

d. When not on location and engaged in a virtual session, you must be in a distraction-free environment

e. Sessions will be randomly recorded for safety monitoring purposes

f. FYI: guidelines for effectively working and teaching virtually will be offered

CLUBS/CLASSES/TUTORING/HOMEWORK

a. Complete all requested paperwork in a timely manner

b. Request your materials/supplies/printouts at least one week in advance of usage

c. Have presentation, video, and/or discussion ready before your Google Meet session

d. Keep content age-appropriate and engaging

e. Check-in with the ED for input regarding class leadership

KITCHEN

a. When dealing with food items, gloves must be worn when touching non-packaged food meant to be served

b. Take note of what food items are available for that day and if the ED has a specific request

c. Maintain the cleanliness of the kitchen

a) Clear and wipe down countertops

b) Make sure the floor is clean

c) Empty trash bins and put a new bag in the trash can

d) Wash any tools used for cleaning, which includes drying and putting them away in their designated place

d. Provide for food distributions

a) Organize donations, checking in with the ED when clarification is needed

b) Make a distribution list

c) Provide grocery list for items needed to be purchased for distribution

d) Write the name and number of people in the household for which a distribution is made

e. Remember: follow food safety protocols (posted on kitchen refrigerator)

ADMINISTRATION

a. Check-in with the ED what is needed and process any forms/data that are needed

b. Help with tech distribution and support for staff, and students when requested

c. Contact young people and families, as needed

d. Be proactive and jump in when needed and/or directed

e. Assist the ED with facility oversight

a) Room checks

b) Supply check

c) Follow-through with staff

FILLING DELIVERIES

a. Discuss with the ED about upcoming classes that need supplies and other deliveries that might be needed

b. Inform the ED if supplies need to be purchased or attained with a minimum 48-hour notice

c. Pack supplies according to household and label them for easy distribution

d. Group "packages" together for those who are making deliveries

 

MAKING DELIVERIES

a. Deliveries are often made by board members

b. Deliveries can be given to relatives when on-site, with permission from the recipient

c. Some deliveries may need to be shipped and should be done so at the earliest possible time to limit shipping costs
